We are looking for a proactive and detail-oriented Contracts & Renewals Coordinator to manage vendor contracts and renewals, primarily focusing on hardware with key vendors like Cisco, Fortinet, and Extreme. This role involves coordinating contract performance reports, maintaining accurate databases, negotiating with vendors, and ensuring smooth contract alignments with customers.

Main responsibilities

  1. Coordination and ownership of reports for vendor renewals tracker; customer billing tracker, contract performance, exposure, price increases.
  2. Obtain and check quotes from vendors and processing purchase orders as appropriate.
  3. Ensure customers are quoted accurately, in a timely manager so that contracts are billed and renewed on time.
  4. Liaison with the Change Control team regarding Asset Management changes or updates.
  5. Develop, update and maintain the contract databases on Salesforce and Connect Wise.
  6. Alignment of vendor contracts with customers contract dates.
  7. Communication of key updates regarding contracts.
  8. Coordinate contract termination requests in accordance with customer notice.
  9. Support the Sales team in ensuring renewals are processed and priced accurately.
  10. Negotiation with vendors to reduce costs and gain favourable terms.
  11. Hardware contracts will be the primary focus of this role, concentrating on contracts with key vendors, Cisco, Fortinet and Extreme (as well as other tactical hardware vendors) and the associated customers. Cover for the team shall be required for holiday and sick leave.

Person Specification

Technical Profile

  • Experience of IT software procurement and contract management (desirable)
  • Commercial acumen and understanding of business risk
  • Strong customer service skills
  • Intermediate excel user
  • Educated to A Level or equivalent standard, degree level preferable
